The residence file roadmap

A practical map of the evidence categories that often shape a German residence permit application.

Build from purpose, not from the pile

A useful file starts with the question the application asks: on what basis do you intend to live in Germany? The documents then support the answer. Exact requirements depend on nationality, residence title, local authority and personal circumstances, but the categories below make a practical preparation frame.

01

Identity and current status

Passport validity, entry basis, current visa or residence title, registration and any relevant civil-status records establish who is applying and the present timeline.

02

Purpose of stay

An employment contract, university confirmation, business material or family evidence should match the residence basis being considered.

03

Financial means

Salary, blocked funds, savings, sponsorship or business forecasts must be current, understandable and appropriate to the route—not simply abundant.

04

Health insurance

Coverage type, start date and confirmation wording need to fit the intended stay and application stage. General membership cards may not answer every question.

05

Housing and local records

Tenancy material, registration and address details should be consistent across forms, letters and contracts.

06

Dates and dependencies

Contract starts, permit expiry, insurance cover, travel and appointments belong on one timeline. A strong document can still create a gap if its dates conflict.

Our four-status review method

Each expected item receives one practical status: ready when it is current and supports the intended fact; confirm when an authority or specialist needs to answer a question; replace when wording, date or format appears unsuitable; and missing when no evidence has yet been identified.

This is a preparation method, not an official classification. It gives you an order of work and keeps unresolved questions visible.

What not to place in an initial email

Do not send passport scans, full bank statements, health details or unredacted contracts before a service scope and secure transfer method are agreed. A document index—name, issuer, date, language and purpose—is usually enough for the first conversation.

A final check before submission

Read every form and supporting letter as one story. Check name spellings, addresses, employer details, amounts and dates. Separate originals from copies, label translations, save the current official checklist, and keep a record of what was submitted and when.
